Before Get Started

Get Started

  1. Go to www.workshiftly.com
  2. Click on the 'Login' button.
  3. If you have already created a WorkShiflty account enter your email and password to log in to your account.

If you don't have a WorkShitly account,

  1. Click on the 'Sign Up' Link.
  2. Type your name and email to create your WorkShiftly account.
  3. Click and mark on the accept check box.
  4. Check your email inbox to set up your profile.

Follow the below path.

  1. Check the email inbox and click on the ‘Confirm Email’ button, in the email you received.
  2. Enter your email and the system-generated password that you received from the email.
  3. Provide your own secure password and log in again with the new password.

Follow the below path.

  1. Click on the 'Setup Company'.
  2. Enter your company details.
  3. Click on the ‘Save’ button.

Profile

Follow the path below.

  1. Click on your profile name, on the top of the right corner of WorkShiftly.
  2. Select 'Profile' tab.
  3. Click on the 'Profile'.
  4. Update the profile.

Follow the path below.

  1. Click on your profile picture, on the top of the right corner of WorkShiftly.
  2. Select 'Profile' tab.
  3. Click on the 'Profile'.
  4. Click on the 'Change Password' tab.
  5. Change the password.

Company

Yes, you can manage multiple companies using the same login information in WorkShiftly.

  1. Click on the 'Select Company' drop-down list.
  2. Select the company you need.

Follow the path below.

  1. Go to 'Company Profile'.
  2. Update the company details you need.
  3. Click on the 'Update' button.

Follow the path below.

  1. Go to 'List of Companies'.
  2. Click on the ‘Create’ button.
  3. Fill in the information required.

About Reports

You can generate your employee's 'Activity Summary' report, 'Timeline' report, 'Productivity' report, 'Attendance' report, Project and Task' report,  'Meeting Summary' report in WorkShiftly.

Follow the path below.

  1. Click on your 'Select Company' drop-down list.
  2. Select a 'Report Type' you need.
  3. Click on the 'Export' button.
  4. Type the email address, to which you want to send the document.
  5. Select an 'Export Type'.
  6. Click on the 'Send Report 'button.

If the user is uninstalled, old data will continue to be shown in the reports, but no new data will be collected. You can use the 'Employees' tab to inactive that employee.

Activity Report

Follow the below path.

  1. Go to 'Dashboard'.
  2. Click on the ‘Report Type’ drop-down list.
  3. Select the ‘Activity Summary' report.

  1. Go to 'Dashboard'.
  2. Click on the ‘Report Type’ drop-down list.
  3. Click on the employee from the ‘Activity Summary’ table.
  4. Filter out the employee/s you want to check the screenshots from the ‘Users’ dropdown.
  5. Click on the employee from the ‘Activity Summary’ table.
  6. You will find the screenshots on the opening modal.

All communication to the WorkShiftly server is secured by SSL encryption. The files on the server are stored securely to provide enhanced security to your data along with the screenshots. 

The total time your employee has worked on applications/websites that have been rated as 'Productive'.

The total time your employee has worked on applications/websites that have been rated as 'Unproductive'.

The total time your employee has worked on applications/websites that have been rated as 'Neutral'.

The total time your employee has worked on applications/websites that have been rated as 'Unrated'.

The sum of total time your employee has worked. To calculate the 'Total Worked time', will consider the 'Productive', 'Unproductive' and 'Neutral' time of your employee has worked.

The sum of total break times your employee has taken within the break times that the company has authorized.

The sum of total break times your employee has taken outside the break time the company has authorized.

No. WorkShitly do not allow screenshot access to regular users. WorkShitly has five user types as 'Super Admin', 'Admin', 'Configurator', 'Manager' and 'User'. But only the Super Admins, Admins & Managers can see the screenshots of the users that they manage. All WorkShiftly communication is secured by SSL encryption. 

Timeline Report

The 'Timeline Report' defines a complete behaviour of an employee during the working period, the timeline breakdown of working hours, obtained authorized breaks, unauthorized breaks, and meeting hours of the user or users that you choose. 

 

Note: The Timeline Report define authorized breaks as 'Authorized Idle' and unauthorized breaks as 'Idle'.

  1. Go to 'Dashboard'.
  2. Click on the ‘Report Type’ drop-down list.
  3. Selects the ‘Timeline’.

  • Green - Working Time
  • Blue - Meeting Time
  • Brown - Authorized breaks time
  • White - Idle time

Productivity Report

Follow the below path.

  1. Go to 'Dashboard'.
  2. Click on the ‘Report Type’ drop-down list.
  3. Select the ‘Productivity' report.

Yes. WorkShiftly captures the application name that your employees are using to provide more accurate information. 

Yes. WorkShiftly capture website URLs the employee visits to provide more accurate information.

For now, Google Chrome, MS Edge, and Firefox are supported to capture URLs. More browsers will be supported soon. 

WorShiftly does not monitor anything on your employee computers when they’re on a break or when they’re not working. Our opinion is that a company has the right to know what employees are doing during work hours, and has no right at all to know what they’re doing during breaks or after working. 

Attendance Report

The 'Attendance Report shows, the shift start time defined by the company, the actual time your employee has started to work, the shift out time defined by the company, the actual time your employee shifts out, and the status of the employee's shift.

  2. Click on the ‘Report Type’ drop-down list.
  3. Select the ‘Attendance'.

Meeting Summary Report

The 'Meeting Summary' report shows, the date of the meeting, the time of the meeting, the purpose of the meeting, and the project name that the meeting held.

Yes. WorkShiftly allows you to capture meeting application URLs while your employee is in a meeting. To start a meeting capturing, the employee should create a meeting task. 

Employee

Follow the path below.

  1. Go to ‘Employees’.
  2. Click on the ‘Employee’ tab.
  3. Clicks on the ‘Create’ button.
  4. Fill in the information required.
  5. Click on the 'Save' button.

Yes. Whenever your employees internet connection is down, WorkShiftly is monitoring and tracking your employee. Your employees' data is saved securely (encrypted) on their computers until they are being synced once online.

For an existing project, follow the path below.

  1. Go to ‘Projects’.
  2. Select and click on a project you want.

  5. Select the employee you want.

Settings

Yes. you can change the application's ‘Idle’ time. Follow the path below.

  3. Change the ‘Idle’ time as you want.

Yes. you can customize the ‘Silent Monitoring’ as you want. Follow the path below.

  2. Click on the ‘Silent Monitoring’ toggle button.
  3. Customize the ‘Silent Monitoring’ as you want.

Silent monitoring allows 'Super Admin/ Admin/ Configurator and Manager' to monitor their employee’s works without prompting the 'Work Confirmation' or 'Force Break' notification to their employee’s desktop.

No. You can add any number of authorized breaks without limits. 

Yes, you can active 'Two-step Authentication'. Follow the path below.

  1. Go to ‘Settings’. 
  2. Drag the ‘Enable Two-step Authentication’ toggle button to the right. 

This is available for managers. You add an extra layer of security to your account in case your password is stolen.

 

After you set up 2-Step Verification, you'll sign in to your account in two steps using your login information.

Client App

Once your company create a profile for you, you will receive a WorkShiftly 'Download' email for your email inbox. 

 

Follow the path below. 

  1. Go to the email that you provided to your company and check the inbox. 
  2. Click on the ‘Download’ button that has in the email. 
  3. Click the download button under the operating system (OS) your computer has. 

  1. Right-click/Double click on the WorkShiftly setup and click on the 'Install'.
  2. Click on the 'Next' button.
  3. Again click on the 'Next' button.
  4. Click on the 'Install' button.
  5. Click on the 'Finished' button.

After your company creates your profile, will receive the WorkShiftly 'Login' email to your inbox.

  1. Check your email inbox and click on the 'Login' button in the email WorkShiftly has provided. 
  2. Enter your email and the system-generated password that you received via the email. 
  3. Change the password and log in again with the new password. 

Yes. You can see your attendance daily wise. Current date attendance displaying by default on the attendance column. But you can pick any date you want and check your attendance easily in WorkShiftly.

You can check your productivity as a bar chart in the middle of ‘Dashboard’ in the WorkShiftly client app. 

 

You can check how much time you have spent on applications/websites that have been rated as 'Productive', 'Neutral', and 'Unrated'. 

You can check your activities at the bottom of ‘Dashboard’ in the WorkShiftly client app as a pie chart. You can check the time taken for specific tasks, projects, and meetings by yourself. 

The 'Activity Log' will be displaying you, the time you start to work, the time you take a break, and the time you create and start a 'Meeting' task. 

There are two types of breaks you can take in WorkShiftly. 

 

  1. Your company-defined breaks. 
  2. Add breaks by yourself If you take company defined break.

  1. Click on the 'Pause' button. 
  2. Click on the 'Break Reason' drop-down list. 
  3. Choose a break type and click on it. 

 

If you want to take a break that is not defined by your company, follow the path below.

  2. Type the reason for the break that you want to take. 
  3. Click on the 'Take a Break' button.

  4. Click on the 'Stop' button in front of the completed task by you. 
  5. Then your work status will be automatically updated to your company. 

Yes. WorkShiftly can record the time when you are doing non-computer based tasks if you have been given permission. 

 

Create a manual task based on the project and click on ‘Start’. Then WorkShiftly starts to monitor the time of your offline task. Follow the path below. 

  1. Go to the 'Projects' tab. 
  2. Select '+' button. 
  3. Fill in the required information. 
  4. Click on the 'Add Task'. 

Yes. You can reset the password by yourself in WorkShiftly.

  1. Go to the 'Settings' tab.
  2. Click on the 'Profile' tab.
  3. Fill in the information required.
  4. Click on the 'Update' button.

If you have a meeting online, you can create a meeting task by yourself. To create a meeting task you have to fill in The name of the project related to the meeting you are going to attend, The purpose of the meeting, and the participants of the meeting.

  1. Go to the 'Projects' tab.
  2. Click on the project drop-down list.
  3. Select and click on the 'General Work' project.
  4. Click on the 'Start button in front of the 'Meeting Task'.
  5. Click on the 'Start Meeting' button.
  6. When your meeting ends, you can click on the 'End' button and end the meeting in WorkShiftly.

No. If WorkShiftly has a version update, the system brings a 'New Version Available' notification to the WorkShiftly login interface. Then you can update the new version click on the 'Yes, Download Nowbutton or perform the update later by clicking 'No, Reminder Later'. 

 

If you click on the 'Yes, Download Now' button follow the below path after downloading the new version. 

  1. Search for the WorkShiftly old version and uninstall it on your computer. 
  2. Go to the 'Downloads' folder and install the new version. 
  3. Click on the 'Next' button. 

WorkShiftly may capture your computer work screen if your company enable the screenshot feature.

 

But if your company does not enable the screenshot feature WorkShiftly does not capture your work screen's screenshots. To know about it, you can check your company policy.

 

Screenshots give your company a clear image of your activity on computers running the WorkShiftly client app. With visual records, it's easy to see what happened and when, the intent behind your actions, and gain insights into how you work so that you will not have to do any explanations as to what you did.

  1. Go to the 'Logout' tab .
  2. Click on the 'Yes, Logout' button.

 

Note: Before you log out, you have to end the running task.

No. You will not lose your previous data in WorkShiftly. After you start the WorkShiftly again, the system brings up a notification as 'Do you want to continuous previous daily workings?'. 

 

When you have been idling more than your company allowed time, the system brings you a ‘Work State Confirmation’ notification. 

Note: For example. If your company defines your 'Idling' time as 3 minutes and you have been idling more than your company allowed time, the system brings you ‘Work State Confirmation’ notification in the second and half minutes. 

 

If you want to continue your work from where you left, click on the 'Yes, I am working' button. If you don't want to continue your work from where you stopped, click on the 'No, I am idle' button. 

When you receive the Work State Confirmation and if you do not respond to the message within one minute, WorkShiftly takes you to a state called ‘Force Breakindicating that you are not performing any task on your computer. 

No. WorkShiftly does not capture your work screen while you take a break. 

No. You can't log out from the WorkShiftly without pausing or stopping the task you are currently working onYou have to pause or stop the task before you log out. 

Data Security & Privacy

Yes. WorkShiftly stores your data encrypted in highly secured database servers to generate reports and for other functionalities of WorkShiftly. Refer to our Privacy Policy if you want to find out more information about how we handle your data. 

WorkshSiftly only collects application names and the duration, the user has used. If WorkshSiftly admin has configured, WorkshSiftly is capable of taking screen shots.
